How to make a fillable form in Google Docs
Google Docs is great for writing a form, but it has no real form fields: no text boxes that only accept an answer, and nothing that turns into a fillable PDF when you download it. You still have good options. Which one is right depends on how people will fill the form in: inside Google Docs, through a web form, or as a PDF they download and send back.
Pick your route
| You want people to… | Best route |
|---|---|
| Fill it in inside Google Docs (colleagues, or people you share with) | A Doc with tables, checklists and dropdown chips |
| Answer online and have responses collected for you | Google Forms |
| Download a form, fill it in on any device, and email it back or print it | A fillable PDF made from your Doc |
Route 1: a fill-in form inside Google Docs
This works when the people filling it in can edit the document, for example teammates, or clients you send a copy to.
- Lay it out with a table. Use Insert → Table and put each question on the left and an empty answer cell on the right.
- Add checkboxes with a checklist: click the Checklist button in the toolbar, or select lines and choose Format → Bullets & numbering → Checklist.
- Add dropdowns for fixed choices: choose Insert → Dropdown (or type
@dropdownand press Enter), then pick a preset or create a new dropdown with your own options. - Share it safely. To give each person their own copy, share a view-only link and ask them to use File → Make a copy, or make the copies yourself.
The limits: anyone who can type in the answer cells can also change your questions, and the layout can shift as people type. It suits internal checklists better than client paperwork.
Route 2: Google Forms
If you don’t need a document at all, Google Forms is usually the better tool. It is free with a Google account, it has real question types (short answer, multiple choice, checkboxes, dropdown, date), and responses are collected for you. The trade-off is that it is a web page, not a document with your letterhead and layout, and it isn’t what you want if people expect to print, save or email back a copy.
Route 3: a fillable PDF made from your Google Doc
When the form needs to look like your document and work on any device, turn it into a fillable PDF. Google Docs can’t add PDF form fields itself, so you add them in another tool.
- In Google Docs, choose File → Download → Microsoft Word (.docx).
- Open the .docx in LibreOffice Writer (free) and check the layout. Fonts that aren’t installed may be swapped, which can move lines.
- Turn on View → Toolbars → Form Controls and click Design Mode.
- Draw a Text Box over each answer space and a Check Box over each tick box. Name each one in Control Properties (right-click).
- Export with File → Export As → Export as PDF, ticking Create PDF form on the General tab.
- Test the PDF in a browser and in a free PDF reader.
Prefer to keep Google’s layout exactly? Download the Doc as a PDF instead (File → Download → PDF document (.pdf)) and add the fields to that PDF; see adding fillable fields to a PDF. Don’t expect checklists or dropdown chips to stay clickable in the downloaded file: open it and click to check.
The Word-based steps are covered in more detail in Word to fillable PDF.
Tips for a Google Docs form that converts well
- Use tables, not underscores, for answer spaces. Empty cells are easier to place fields over.
- Use standard fonts such as Arial so the layout survives the trip to .docx.
- Give answers room. Make address and notes cells tall enough for two or three lines.
- Keep the master in Docs. When the form changes, edit the Doc and convert again.
Or have the PDF made for you
Share a link to the blank Google Doc (set to “Anyone with the link”) or to the PDF you downloaded, and we turn it into a fillable PDF: text fields, checkboxes, dates and a signature area, with your layout and wording kept. $29 for 1–3 pages, $59 for 4–10. We test in Chrome and Firefox and send it back as a Google Drive link.
FAQ
Can Google Docs make a fillable PDF?
Not on its own. Google Docs has no PDF form fields. Download the Doc as .docx or PDF and add fields in a tool such as LibreOffice (free) or Adobe Acrobat (paid).
Can I add checkboxes in Google Docs?
Yes. Use the Checklist button in the toolbar, or Format → Bullets & numbering → Checklist. They work inside Google Docs.
How do I add a dropdown in Google Docs?
Choose Insert → Dropdown, or type @dropdown and press Enter, then pick a preset or create your own options.
Should I use Google Forms instead?
If you only need answers collected online, Google Forms is often simpler. If people need a document to save, print or email back, a fillable PDF fits better.
Rather not do it yourself?
Send us a link to the blank Google Doc or its PDF. $29 for 1–3 pages, $59 for 4–10, usually back within 24 hours as a fillable PDF.
